Denver-based Encompass Event Group, a technical design and deployment company specializing in corporate events, is hiring a Productions Coordinator to serve as a secondary point of contact and advisor throughout our event production process.


This is an internal operations role focused on planning rather than executing events. It’s perfect for someone that’s spent a lot of time onsite but wants to apply their talent to making sure everything is right … without ever stepping into a venue!


Job requirements

The right candidate will:

  • Participate in Discovery Calls (in conjunction with a Solutions Coordinator)

  • Brainstorm and co-design solutions for our clients’ unique needs

  • Scrub equipment and labor estimates based on understanding of needs

  • Maintain “backstage folders” as a central repository of information and archive upon completion of event

  • Gather and/or create production documents (schedules, CAD drawings, wiring diagrams, etc.)

  • Identify equipment and labor shortages and resolve in conjunction with the Resource Coordinator

  • Participate in weekly event labor utilization meeting

  • Schedule and lead meetings with clients

  • Resolve equipment shortages with like-kind replacement items

  • In conjunction with the Solutions Coordinator, create/manage budgets and communicate budget changes in real-time to clients and minimize project overrun

  • Utilize Vectorworks to create scaled room diagrams, seating layouts, video/audio coverage maps, as well as scenic design renders

  • Communicate schedules and job information (including a formal Crew Letter)

  • Collaborate with the Resource Coordinator and Director of Operations to ensure all logistical needs for the event are understood and met

  • Facilitate bi-directional process to transfer show information to/from Project Managers and/or Show Leads

  • Provide first-line remote support for Project Managers and/or Event Leads

  • Review Time Reports and crew feedback from each event

  • Work in conjunction with Solutions Coordinators throughout our production process

  • Pipedrive (CRM)

  • Asana (task management)

  • Flex (estimation tool)

  • PandaDoc (proposal generation)

  • Microsoft Office

  • Google Suite

  • Vectorworks (CAD planning, renderings, and wiring diagrams)


Other Requirements

  • Must be based in the Denver-metro area

  • Minimum of five years experience implementing and executing high-end corporate and/or association events

  • Excellent verbal and written communication skills


Schedule:

  • Typically 9:00am-5:00pm M-F (office-based position)

  • Wage: $75K +/- (based on experience)
